Job Summary:

TMS is seeking a well-organized and detail-oriented Executive Assistant to provide high-level administrative support to our CEO and other C-Level Executives. Reporting directly to the CEO, the Executive Assistant serves as a liaison to stakeholders and senior management teams; organizes and coordinates executive outreach and external relations efforts and oversees special projects.  The ideal professional for this role will have the ability to exercise good judgement in varied situations and will have good organizational skills.    

Responsibilities:

  1.      Calendar Management: 

  • Efficiently manage Executive schedules; coordinating appointments, meetings and travel
  • Anticipate and prioritize scheduling conflicts, ensuring optimal use of time. 

  2.      Communication: 

  • Act as the primary point of contact between the executive and internal/external stakeholders as necessary
  • Draft and edit correspondence, emails, memorandums, and other communications

  3.      Meeting Coordination: 

  • Prepare agendas, materials, and presentations for meetings. 
  • Attend meetings, take minutes, and follow up on action items to ensure timely completion. 

  4.      Travel Arrangements: 

  • Coordinate domestic and international travel logistics, including flights, accommodations, and itineraries. 
  • Provide detailed travel briefs to the executive team. 

  5.      Documentation and Filing: 

  • Provide historical reference by developing, utilizing, and maintaining organized and up-to-date electronic and physical filing systems
  • Exercise discretion, confidentiality, and good judegment when handling C-level matters and other proprietary information

  6.      Project Support: 

  • Assist in the planning and execution of special projects, events, and initiatives as assigned. 
  • Conduct research and prepare reports or presentations as needed. 

  7.  Expense Management: 

  • Track and reconcile expenses, ensuring accurate and timely submission of expense reports. 

  8.      Problem Solving: 

  • Proactively identify challenges and implement solutions to enhance the efficiency of daily operations. 
  • Exercise sound judgment and discretion in handling sensitive issues. 

Qualifications/ Requirements: 

  • Proficient with Microsoft Office Suite
  • Professional appearance and telephone demeanor
  • Capable of maintaining confidentiality
  • Exceptional analytical and problem-solving abilities
  • Ability to interact and communicate with all levels of the organization
  • Detail-oriented and organized
