Position Purpose:
The Procurement Coordinator is an essential member of the procurement department, responsible for assisting in the scheduling and management of transportation for multiple events. This role involves booking vehicles for events, management of those bookings and associated supplier relationships. The ideal candidate will have strong organizational skills, a keen eye for detail, and the ability to work in a fast-paced environment. This position reports to the VP of Business Initiatives and Partnerships.
Responsibilities:
- Maintain relationships with existing vendors and manage performance to ensure quality and reliability.
- Coordinate with internal teams to understand transportation needs for upcoming events.
- Manage the procurement process from initial request through to delivery, ensuring timely and accurate fulfillment of transportation requirements, including reconciliation of final supplier costs.
- Prepare and maintain procurement records, reports, and documentation.
- Ensure compliance with company policies and industry regulations.
- On-site support to the Operations team during some of the lager events managed.
Skills & Qualifications:
- Previous experience working in the transportation, travel or event management industry.
- Advanced MS-Excel/Office skills.
- Good written and organizational skills.
- Previous experience working with purchase order system or accounting software.
- Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple tasks and demands.
- Bilingual Proficiency: Must be able to engage with others in both English and Spanish to provide support and resolve inquiries in both languages.
- Expected to communicate effectively with suppliers, customers, and staff through written and verbal communication.
- Able to work outside of traditional working hours when needed.
- Must be authorized to work in the US.
- Bachelor's degree or 4 years of prior relevant experience.
- Previous experience in procurement operations or similar environments.
